‘Exceptional Circumstances’, (ECs for short) are unexpected events or challenges in your life that may impact your ability to study, submit work on time or perform well in exams.
You should try your best to meet your deadlines and submit work on time. However, if your performance is, or is likely to be, impacted by ECs you have the right to ask for an adjustment to your deadline or assessment schedule. This can include deadline extensions, End of Year requests and Break in Study requests.
It is essential to report these exceptional circumstances to the University as soon as you can. ECs are reported through your eVision account.
How to submit an EC
A guide to submitting ECs can be found on myUEA, along with some very helpful FAQs that you should read through.
You can find information about the types of ECs available, how to submit your request, and what evidence is needed at the Exceptional Circumstances dashboard on myUEA.
Read through the guidance first, as well as our suggestions below. If you can’t find the answer to your question, contact the Student Information Zone or complete our enquiry form.
Important things to be aware of
- Reporting ECs cannot change your mark, remove the requirement to complete an assessment or offer you another attempt at an assessment where you have not achieved the mark you were hoping for
- EC requests can only be considered if they fit within the UEA Exceptional Circumstances Regulations - you can find more guidance about ECs on myUEA
- Unless you are requesting a self-certified deadline extension, you will be required to provide evidence of your ECs, when they occurred and how they impacted your ability to complete your assessment. In many cases, evidence will be required from a professional, third-party source.
- Once you have completed the EC task in eVision, you must submit your EC evidence separately using an MS form - see the UEA's EC Evidence guidance for more information and a link to the form.
- If you are asking for more than one thing (for example, an extension and end of year request, or a self-cert extension and evidenced extension) you must submit separate requests for each.
- There is a 250 character limit in the EC request form where you give details of the circumstances and the impact on your studies. If there is not enough space to explain your ECs, type in ‘please see email’ and send a separate email to the Academic Registry at ECs@uea.ac.uk. This will not count as additional evidence, and you must make sure all appropriate evidence is still submitted through the MS Form.
Specific EC adjustments and outcomes
- For coursework assessments, you may be able to request a 7-day self-certified deadline extension without providing supporting evidence. This is designed to cover short-term, unforeseen circumstances. A self-certified request can be made up to 7 days before or after an assessment submission deadline. It's important to understand that the maximum self-certified extension you can get is 7 days longer than original deadline, even if you submit the request after that original deadline has passed.
- An evidenced extension can be requested to extend the submission deadline by 21 days. This type of request must be submitted in advance of the assessment deadline and must be supported by appropriate evidence. You cannot request an evidenced extension after the original deadline date, even if you have already requested a self-certified 7 day extension.
- The maximum extension that can be granted is 21 days from the original submission date. The length of an evidenced extension cannot be 'stacked' or added to the end of the self-certified extension.
- If you reach the end of your 21-day extension and cannot meet the new deadline, you will automatically be offered a delayed assessment. You will receive an email confirming this from Academic Registry once it has been processed.
- If you need to defer an event assessment (an examination or live presentation) this can be requested in advance of, or on the day of, the event..
Students with reasonable adjustments
- If you have reasonable adjustments on file, you can request an evidenced extension 21 days before or after your original submission deadline.
- EC guidance for students with reasonable adjustments is available on myUEA.
Missed the deadline to submit an EC?
If you have been unable to submit your assessment or attend your assessment event, and did not submit your exceptional circumstances request within the required you may have grounds to submit an academic appeal. Please see our guidance about academic appeals.
